April 1st is right around the corner! And it’s no trick, that quarterly reporting will be due soon after!

VT State Reporting:

2025 PIT/HIC

As we are wrapping up the 2025 PIT / HIC, please be aware that you will need to notify ICA immediately if there are any changes in your PIT / HIC data or with your bed inventory.

The deadline is coming up, and data will need to be confirmed and finalized very soon. If any data has been changed, we will need to run a new report and have it reconfirmed.

BoS CE Lead Agencies - Announcement!

On April 29th from 10 - 11:30 am ICA is going to be holding a Literally Homeless Prioritization Report training, specifically, Using Your Prioritization Report for List Cleanup.

This training is for lead agency staff that manage the Coordinated Entry list. In some regions, this may be one person, in other regions, this may be multiple people.

This training will focus on:

• Identifying missing data and how make corrections in HMIS

• Identifying clients who may need to be move to the At Risk list

• Identifying clients who may need their Literally Homeless information updated

• Open Q & A

ICA will be sending the meeting invite out prior to April 29th; in the meantime, please place a hold on your calendar if you are planning on attending!

HMIS Release of Information

ICA has updated our HMIS Release of Information written guidance. Please take a moment to review the written guidance to ensure that you and your agency are in compliance.

Important reminders:

• The HMIS Release of Information must be uploaded to the client record, regardless of if the permission to share was granted or not.

• An HMIS Release of Information must be uploaded into all client records - including children with a modified end date of the child’s 18th birthday.

  • When a child turns 18, they must sign their own HMIS Release of Information

• ICA recommends looking up a client in HMIS prior to asking them to sign the HMIS Release of Information.

  • If there is a YES to sharing HMIS Release uploaded to the client record, then your agency also has permission to share the client data in HMIS.

    • Please note the HMIS Release of Information was implemented 4/1/2024 - only HMIS Releases signed on or after 4/1/2024 to be valid.  

  • If there is a NO to sharing HMIS Release uploaded to the client record, then you can ask the client if they wish to share their HMIS data and sign a new HMIS Release to state YES to sharing.

    • Please remember this is always about the clients informed choice.

• If a client wishes to revoke their previously signed YES to share HMIS Release, they will need go to the original agency that they signed the release with and follow the steps to revoke sharing.

  • If you have a client who wishes to revoke their HMIS Release, please reach out to ICA with the client’s unique identifier so we can assist.
