We've Got a New Executive Director!


After a very thorough search, we are happy to announce Jim Hankins has been selected as Executive Director for the SSO. Jim will start in mid-August.
 
Jim was most recently the Director of HR Shared Services & HR Technology, Data, & Analytics at Kamehameha Schools in Honolulu. His experience leading at educational and health-care institutions, and implementing a human resources information system, will serve us well with UCPath soon going live.

Q3 SSO Survey Feedback Is In

Thanks to your feedback, we are providing more support and guidance to our clients with stronger communications on what’s changing with UCPath. In Finance, we are working with our partners to improve consistency with system data, so you have more visibility on order status updates.

UCPath Myth-busting


Call your Service Channel with any UCPath issues

Just as you do today, continue contacting us by phone, email, AggieService, or drop by the SSO office. If any UCPath issues arise for you or the employees who rely on you for human resources and payroll help, the SSO is the first point of contact and is prepared to get things corrected.

UCPath Cutover Activities in September

Freeze Dates and the timing of transaction processing are a necessary part of transitioning to UCPath. There are several hard deadlines coming up that will be necessary to ensure critical payroll, and HR transactions are completed in time for the conversion to UCPath. Some cutover activities include:
  • Last day to make PPS changes to monthly non-student academics
  • Last day to make changes in PPS for monthly employees
  • Last day to make changes in PPS for biweekly employees
We are hard at work identifying these deadlines which are dependent upon input from Central Offices and other service channels. We don’t have a date yet and appreciate your patience. We hope to have a finalized calendar for distribution and on our website soon.

Intermittent Leave Tracking and UC Path

UCPath's Absence Management Module can track entitlement hours for FML and CFRA, rather than relying on our current manual tracking system. 

When UCPath goes live, we will need to collect intermittent leave tracking information since Jan. 1, for all employees, in order to enter this information in UCPath. You can help by simply sending the current Intermittent Tracking Sheets that you received with the original FML Packet.

DocuSign

The SSO launched DocuSign in early February to help facilitate electronic signatures for staff new-hire paperwork. DocuSign has improved data entry accuracy and efficiency, saved paper, eliminated scanning, and reduced onboarding times. DocuSign will go live for student hires this summer.
Annual APO Changes to Set Up

This year we are adjusting the way we set-up annual APOs for our clients. We are moving towards using No Quantities to allow for easier payment throughout the year. We will enter your yearly estimate as the full No Quantity amounts. If there is an estimate based on weekly amounts, we will include that for the APIS team to use as a cross-reference.

Specific to Aramark, Mission, Airgas Annual APOs:

The Trancepta Invoicing Software is processing the invoices for these vendors. For these to be processed properly, APIS has requested that we set-up POs with only one No Quantity Line Item.
  • In some cases, this may mean a single location per PO for your tracking.
  • Any Account Splits requested will apply for the entire year and unable to be adjusted to each invoice.

Christopher Villanueva: Chris is a TES employee and has joined SSO as an HR Coordinator. He will be working with the team as we get ready to launch UCPath.

Transitions

""Dollie Lindstrom: Dollie has been with UC Davis since 2001. She will be leaving the SSO Payroll Department and replacing Janice Basson as the Background Coordinator. She was a Registered Dental Assistant for 25 years before changing careers at Davis. Dollie has been married for 24 years and has three boys and three girls. She enjoys camping, biking and hiking along the American River.

New

""Nadia Vasquez: Nadia was formerly the Leave of Absence and Disability Claim Administrator. She previously worked for a private company that handled leave of absences and disability claims as a third party. Nadia is now stepping into a new role as a Leaves Specialist. She enjoys hiking, running, spending time with her family and two dogs.

Retirements

Sandi Joerger: Sandi first joined UC Davis in November 2011 as a TES employee. Shortly after, she became a career Payroll Coordinator. During her time at Davis, Sandi has had many co-workers turn into friends – all of whom who will miss her dearly. While Sandi does not have immediate plans for retirement, she plans to travel to Scotland next year. 

Janice Basson: Jan first joined UC Davis in 2000 and transitioned to the SSO in 2017. She is widely regarded as the ultimate subject matter expert on DOB/FBI rules and regulations and LiveScan processes. She plans to enjoy her busy family and community activities in retirement.

Terri Syverson: Terri joined UC Davis in 2013. She was a Recruitment Coordinator at UC Davis Health, and became the Interim Lead Coordinator when her team joined the HR SSO in 2017. She was responsible for overseeing employee onboarding at UC Davis Health and participated on a multitude of UCPath projects prior to her retirement. She will be relocating to Arizona after retirement where she has plans to work at a local high school.

We are happy to celebrate our department's eight graduating students. Although we are sad to see them go, we are excited for their bright futures ahead!
