Timekeeping, Payroll Deadlines and Changes


Getting employees paid on time requires meeting critical timekeeping and payroll deadlines established to ensure successful UCPath Go Live. Carefully review the timekeeping deadlines and share them with your employees.

TRS Users
  • Monday, Sept. 9: New UCPath TRS available for monthly employees to enter time for the August pay period.  Monthly employees can no longer use legacy TRS and will instead see a new UCPath TRS landing page after logging into
  • Friday, Sept. 13: Monthly employees must submit timecards in TRS by 5 p.m. for August pay period.

Ecotime Users
Continue using the same Ecotime login details to record time for hours worked and leave. 

  • Monday, Sept. 9: Supervisor approval due by 1 p.m. for biweekly employee timecards, for pay period ending Sept. 7. 

AYSO Frozen - Use Paper Form for Changes

At Your Service Online (AYSO) is in read-only mode meaning employees must wait to make online changes to their personal information, withholding, direct deposit and more until UCPath Go Live on Sept. 27.

The AYSO freeze also means new employees can’t enroll in benefits online if their period of initial eligibility closes before Sept. 27.

New and seasoned employees must use the paper UPAY 850 form for benefits enrollment and other functions formerly available at AYSO, until the UCPath Employee Self-Service Portal is available on Sept. 27.

UC Davis Jobs Unavailable in Sept. 

UC Davis normally has dozens of staff positions awaiting applicants at the Davis Campus, UC Davis Health and research stations, but implementing UCPath requires them to be temporarily removed.
  • UC Davis Health — No jobs posted from 5 p.m. Sept. 12 to 8 a.m. Sept. 16.
  • UC Davis and UC Davis Health — No jobs posted from 5 p.m. Sept. 26 to 8 a.m. Oct. 1.

Wait to Submit Non-Funding Corrections

During cutover, Service Channels will be focused on resolving any pay-impacting issues as part of their data conversion clean-up work. Please give Service Channels until Sept. 23 to wrap up those efforts before submitting tickets on non-funding corrections, due to improper conversion. 

UCPath Security/Access Roles Announced

The confidential nature of UCPath information requires that access into UCPath be granted only for the performance of assigned job duties. 
All employees will be granted access to Employee Self-Service functions in UCPath and all managers with “reports to” relationships, will receive access to Manager Self-Service functions, including recruiting & ePerformance. 

However, others will receive a specific UCPath security role. The first round of security access notifications has gone out to Funding Account Administrators in departments. Those who will have Inquiry or Reporting (Cognos) access will receive notification in the coming week, along with information on training and resource guides.
