Q2 SSO Feedback Is In

Thanks to your feedback, we are providing more support and guidance to our clients with AggieService related improvements. We've adjusted our training materials, as we focus on reporting and communication tools in the Lightning Experience interface.

Preparing for Finance Fiscal Close

It may seem early to start thinking about Fiscal Close, but it’s wise to be prepared. The deadlines and all relevant information will be provided soon, but we've posted some Guidance on Fiscal Close on the SSO site. Please note due to individual department processes for handling Fiscal Close, be sure to familiarize yourself with alternate procedures as appropriate.

Deadlines and Calendars

Annual APO Requests
As we approach Fiscal Close, please remember to submit requests for new Fiscal Year Purchase Orders (POs). Doing this will avoid delayed vendor payments. POs might include Drinking Water Delivery, Teleconferencing Services, Uniform Laundry Services, Utilities Payments, and Lease Payments.
Please include in the PO request:
  • Associated Campus Agreement Number
  • Previous Year's PO Number (if continuing)
  • Account Number Associated with your Service
  • Estimated 2019-20 Spend (include sales tax if applicable)

Intermittent Leave Tracking and UC Path
UCPath's Absence Management Module can track entitlement hours for FML and CFRA, rather than relying on our current manual tracking system. 

When UCPath goes live, we will need to collect intermittent leave tracking information since Jan. 1, for all employees, in order to enter this information in UCPath. You can help by simply sending the current Intermittent Tracking Sheets that you received with the original FML Packet.

I-9 Tracker Complete
I-9 Tracker is now live at the Davis campus and UC Davis Health. This electronic tool is being adopted by all UC campuses to create and track I-9 forms, e-verify, and immigration compliance while integrating with UCPath. The SSO extends its sincere appreciation to all the project team members who got this project to the finish line on Feb. 11. For more details, visit the I-9 tracker page.
DocuSign
The SSO launched DocuSign in early February to help facilitate electronic signatures for staff new-hire paperwork. DocuSign has improved data entry accuracy and efficiency, saved paper, eliminated scanning, and reduced onboarding times. DocuSign will go live for student hires this summer.
SSO Wellness Grant
The SSO is getting succulents for planting classes, and activity mats and foam rollers to enhance our weekly stretch breaks, thanks to wellness grant funds secured by SSO Wellness Ambassador Alex Vela. The UC Davis Staff and Faculty Well-being program supports Wellness Ambassadors in each department to help engage their colleagues in wellness information, programs, activities and resources.

Welcome Health Leave of Absence Team!
We are incredibly pleased to announce that the UC Davis Health LOA unit joined the Shared Services Organization on Apr. 1. The team provides information, forms and leaves administration for supervisors and employees of UC Davis Health in accordance with the University’s leave policies.

People Services

Stephanie Overholt, Human Resources Coordinator
Stephanie has been with the SSO since late October as a TES employee and has a background in onboarding and customer service. She enjoys bike riding, trying new foods, diamond painting, reading, cooking and crafting.


Lori Zimmerman accepted the Personnel/Payroll Coordinator position. Lori started her career at UC Davis in 2000 working part-time and previously worked for the Shared Services as a payroll coordinator. She enjoys gardening and RV trips to Tahoe and Santa Cruz with her daughter, husband and family.

Ryley Fairfield is a TES employee who is assisting the HR team with TES onboarding and scheduling interviews for staff hires.

Service Desk

Alex Vela
has been promoted to SSO Service Desk Lead. Alex has been an integral member of the Service Desk team since January 2018.

Lisa Shanks is a TES employee who joined the SSO Service Desk team to help in preparation for UCPath as we anticipate increases to our call volume and emails. Lisa's additional front line support has enabled our team to more effectively distribute resources toward the growing AggieService community.
