State Conference

Please remember that the State Conference Registrations and payment are due Thursday, February 8, 2018.  Email forms to aday7@emich.edu.   
 
Hotel Reservations – February 8, 2018 is the deadline for your housing lists.   I will send the housing lists to the hotels that each chapter has been assigned on Monday, February 12, 2018.  This is going to be a detailed process for each hotel to send your confirmation, so please do not call to find out where your chapter has been placed.  More information on the process may be found on the State Conference Information Packet, posted on the Forms page: http://mideca.org/teachers/forms/
 
Judges – Michigan DECA is in need of qualified business people to serve as judges at the State Conference.  Once you have recruited someone, please direct them to the webpage to sign up for their preferred time to judge: http://mideca.org/support/be-a-judge/   Please do not sign someone up without receiving their commitment.
 
When you register judges for the conference, if they are attending with your chapter, there is no charge for Judges to attend the conference, unless you are using them to meet your minimum adult competitive worker needs; then they will need to pay the registration fee, and be registered as an Adult Assistant and not as a judge.  Individuals registered as a judge will receive a nametag but will not receive registration materials (lanyards, conference program, People Mover pass or meal vouchers.)  

Tentative State Conference Program – will be posted by February 9th.
 
Student Event Orientation – Remember, all students are required to attend their Friday Event Orientation at the State Conference, where they will get their event schedule, and they will learn the procedures for Saturday’s competition.  We can only excuse students for an official school-related conflict.  The form can be found at

Online Testing for the State Conference
The online testing window for the State Conference will be February 21 to 28, 2018.  A new Proctor Registration Form is required to be submitted to our office, even if you are using the same Proctor as you did during the District Conference.  We strongly urge you to select two testing dates as early in the testing window as possible.  Several chapters were not able to test all their students during the District Conference window, due to school closings.  Any students that do not test online will not be able to attend the State Conference.  No testing may take place after February 28th.
 
Special Accommodations – A special needs form needs to be completed if a student requires a special accommodation by a student’s IEP.  The form can be found at
http://mideca.org/wp-content/uploads/specialneeds.pdf   Even if you have previously filled one out for the District Conference, you will need to submit another one for the State Conference.




Written Events

We will use the Michigan Event Checklist when screening for penalty points for all events (except CAP and MAP, they have their own checklists).  Checklists can be found on the bottom of the Forms page:  http://mideca.org/teachers/forms/
STEP ONE - TurnItIn Submission
 
All written events (except Chapter Awards) must be uploaded to TurnItIn.com by 10:00AM on Saturday, February 17, 2018.  A printout of the TurnItIn digital receipt MUST be included in the written project for Written Event Screening.  This page should be placed after the Written Statement of Assurances page, and does not get numbered or counted in the page count of the project.  Failure to include this digital receipt in the project is a 10 point penalty.  Instructions on how to upload the entries will be posted by Friday, Feb 1st.
 
You will NOT be able to make changes to a project once it has been uploaded, so make sure your students have finished their final revisions before uploading the projects.  If a project is uploaded twice, your chapter will be invoiced a $25.00 fee.
 
TurnItIn Submission Requirements:
  1. ONE DOCUMENT FILE per team or individual. Multiple documents for one project entry will NOT be accepted. For example, if you have a student’s Merit Award Project in several files, they will need to be combined into a single file before uploading. For team events, only one file may be uploaded per team - not per person on the team.
  2. Do NOT test the projects by uploading them to another Turnitin.com account prior to submitting them to Michigan DECA. Any projects that have been previously submitted will have a high plagiarism rating and could be disqualified.
  3. Do NOT include the DECA Statement of Assurances page.
  4. Make sure that you DO include the Title Page and Table of Contents. Do not worry if this increases the page count - we will not use the upload file to access penalty points. Also do not worry about page breaks. We are reviewing the project’s content, not the formatting.
  5. Files must be less than 40 MB.  If you have a lot of high resolution photos in the project, you may want to delete them or save the file as a lower resolution before uploading.
  6. You can upload files from your computer, a flash/thumb drive, Dropbox account or Google Drive account.
  7. Do NOT submit any projects that have been scanned.  TurnItIn cannot read scanned pages.
  8. TurnItIn accepts files in these formats: Microsoft Word, Excel, PowerPoint, WordPerfect, PostScript, PDF, HTML, RTF, OpenOffice (ODT), Hangul (HWP), Google Docs, and plain text.
STEP 2 – Hard Copy Submission for Written Event Screening
 
Written Event Screening – will be held on Saturday, February 17, 2018, in Roosevelt Hall at Eastern Michigan University.  The screening will start at 10:00 a.m.  Please do not arrive prior to 9:30 a.m.  If you are going to use a GPS/navigation app, use 208 King as the street address.  Parking is free on Saturday in the Pease Hall Visitors Lot.  Click here for a Google Map to our office.   A campus map will be included in the TurnItIn directions.
 
Michigan DECA Advisors’ Council established policy:  All entries (including the Merit Award and Chapter Awards Programs) must be completed and received by 10:00 a.m. on February 17. Events will not be accepted after 10:30 a.m.  Advisors are not allowed to make any corrections to the projects once they arrive, so please take a few minutes to be sure that they are complete before you arrive.  
 
Please follow these procedures if you plan to ship your written events:
  1. Use this address:  Michigan DECA/EMU, 208 King Hall, Ypsilanti, Michigan  48197 
  2. We strongly recommend using UPS to send your packages.  They deliver directly to our office, and all packages can be tracked to see where they are in transit.
  3. All mail and packages sent by the postal service are sent to the EMU mailroom for sorting first, and do not get delivered to our office until the next business day. (Mail and packages that arrive on Friday will not be delivered to our office until Monday!)
  4. We do NOT receive ANY shipments or deliveries on Saturday, even if you have paid extra for this service with a carrier.
  5. All shipped packages should be sent to be received by Wednesday, February 14, 2018, in case they need to be re-routed.  Packages scheduled to be received after this date run the risk of not arriving on time, and not being able to be screened for competition. 
Also remember that the Written Event Statement of Assurances must be completely filled-in (typed) and inserted in the front of each entry.  Only students that have signed the Statement of Assurances Form will be allowed to compete in that event. Even if a student’s name is typed on the form, but they fail to sign it, they will not be allowed to compete in that event, and will be dropped.

Merit Awards Program - The MAP reporting form must be received by February 8, 2018, for students to be recognized for all completed levels.  Certificates will be mailed after the State Conference.  Link to the form is https://goo.gl/forms/s23ylvGXizqWZPUP2  
 

The Business Growth Plan requires proof of ownership.  The Business Growth Plan is specifically designed for students that own and operate their own business, so proof of ownership documentation is required, it is not optional. 
  • The Proof of Ownership Documentation is not supposed to be part of the Appendix section. We labeled it with an asterisk in an attempt to differentiate between the two sections. Because the appendix is optional, we could not label the proof of ownership as section IX. A student/team may not have an appendix and then their numbering would not match and then they might get penalized.
  • If an entry does not contain the Proof of Ownership Documentation, it is grounds for disqualification.  
  • The Proof of Ownership Documentation does not count against page numbers. This is a change from last year that reviewers will need to be aware of. If the proof of documentation is 50 pages, that is okay.
  • Examples of sufficient documentation of ownership include items which clearly list the name(s) of the owner(s)/operator(s) such as, but are not limited to: notarized affidavit of ownership, certificates of insurance, tax filings, local business permits, and business licenses. With the notarized affidavit of ownership, students are gathering all of their documentation of ownership and presenting it to someone official (most likely a notary public or lawyer) and that official then determines whether or not sufficient evidence has been presented. If sufficient evidence of ownership has been presented, the official signs the affidavit.  

Other Updates


MDA Challenge – Michigan DECA is continuing its partnership with the Muscular Dystrophy Association this year through our annual MDA Challenge.  Last year, we were able to raise over $40,000 with 48 chapters reporting in to our office.  This year, the State Officers have set an ambitious goal of $45,000!!!  We challenge your chapter to make a difference – if every chapter were to raise just a little, we can easily achieve this goal.  February 28, 2018 is the deadline to be recognized at the State Conference.  http://mideca.org/members/mda/

MDA and Michigan DECA are happy to provide recognition for your efforts.  Chapters raising $200 or more will be recognized in Spotlight on DECA and on our website.  Chapters raising $850 or more will be awarded with a plaque on stage at the State Career Development Conference in March.  All participating chapters will be awarded with a certificate.

Membership Deadlines


February 5, 2018 – Payment Deadline for State Conference Housing Rankings.  We will use the number of paid members in each chapter as of February 5, 2018 to determine the order within each district for hotel assignments.  If you have any outstanding membership payments, please check with your bookkeeper to make sure that DECA receives your payment by February 5, 2018.
 
March 1, 2018 – Final membership deadline to be eligible to attend the International Conference.  All memberships must be submitted and paid by March 1, 2018.  Please take a few minutes to be sure that every student that paid membership fees or attended a DECA conference this year has had their memberships submitted to National DECA.  Membership additions and payment are due to National DECA Prior to March 1, 2018.  
 
Gimmie 5! – Michigan DECA is challenging each chapter to recruit 5 more members than they had last year.   Each chapter that accepts this challenge will receive a Commemorative Plaque.  February 10, 2018 is the deadline to submit and pay memberships to receive this award.  Remember that professional and alumni members count towards this award and can be registered using DECA’s online membership system http://www.decaregistration.com/hs/Login.aspx
 
Membership – Please take a few minutes to be sure that every student that paid membership fees or attended a DECA conference this year has had their memberships submitted to National DECA.  Membership Additions Rosters and Payment are due to National DECA Prior to March 1st.  We will be mailing letters for students registered for the State Conference that we could not find on a membership roster.  Please address this issue as soon as you receive it.  All memberships are due to National DECA by March 1, 2018 for members to be eligible to compete at the State and International Conferences.  Log on to DECA’s online membership system at http://www.decaregistration.com/hs/Login.aspx
